Employees in the UK are often required to travel for work \u2013 for \nconferences, meetings, sales pitches or site visits. In many cases, the \nemployee\u2019s car is the chosen method of transport. Travelling in a \nprivate car offers many advantages, including relatively low costs, the \nconvenience of door-to-door travel and the ability to transport up to \nfive people without massive jumps in price.<\/p>\n\n\n\n

There are a few things, however, you need to be aware of if you or \nyour employees plan to drive privately owned or leased cars for work. \nIt\u2019s important to clarify issues around insurance, payment and liability\n before any trips are undertaken. To help with this we\u2019ve looked at the \nmost searched for questions on google around driving for work and, after\n consulting with HR experts and professionals, pulled the answers \ntogether for you.<\/p>\n\n\n

Travelling by Car<\/h2>\n\n\n\n

There are a number of transport options open to those travelling for work and all offer their advantages and disadvantages.<\/p>\n\n\n\n

For long distance travels, such as meeting overseas clients, air \ntravel offers an obvious solution as often the fastest option. For \ndomestic trips, trains are a popular choice, allowing employees to \ntravel without worrying about checking directions, and freeing up some \ntravel time for cracking on with work projects. But trains leave workers\n reliant on timetables, can be subject to delays and very rarely offer \ndoor-to-door service.<\/p>\n\n\n\n

This is where cars provide a useful option for work travel. They \noften give a cheaper alternative to train travel and can obviously take \ntravellers from one door to another without any connections or \ntransfers.<\/p>\n\n\n\n

If employees do travel by car there are two major options open to \nbusinesses \u2013 travel in cars owned or leased by employees, or travel in \ncompany cars. \nCompany cars bring a range of benefits. Jemma Fairclough-Hayes, CEO of \nOrchard Employment Law and HR trainer, explores these. She highlights \nhow company cars \u201cenhance remuneration packages so they are more \nattractive to staff.\u201d<\/p>\n\n\n\n

She also points out that company cars are a great opportunity to \nextend branding. Having a fleet of cars \u201ccreates a company brand, where \nall cars can be the same, wrapped with the company logo and a similar \nstyle of vehicle.\u201d<\/p>\n\n\n\n

Jemma also emphasised some of the drawbacks of company cars, one of \nwhich was cost. Unless employees are travelling regularly for work, the \nexpense of company cars can be excessive.<\/p>\n\n\n\n

Letting employees drive their own cars, however, removes the expense \nof acquiring and maintaining multiple vehicles. This is a sensible \nchoice for businesses whose employees travel irregularly and often not \nwithin easy walking distance of public transport.<\/p>\n\n\n\n

Business Car Insurance<\/h2>\n\n\n\n

If employees are driving their own cars for work-related travel \noutside their regular commute, they need to be covered by business car \ninsurance. Although it is the employee\u2019s responsibility to make this \nextension of their insurance policy, you should share information with \nthem about what the insurance is and why it matters.<\/p>\n\n\n\n

  • Ensuring the employee tells their insurance company that their vehicle will be used for business.\n<\/li>\n\n\n\n
  • Giving your employees an accurate estimate of how many miles they\u2019ll be driving.\n<\/li>\n\n\n\n
  • Checking the excess amount on the insurance policy and establishing who is liable for paying it.<\/li>\n<\/ul>\n\n\n\n

    Keeping employees Safe<\/h2>\n\n\n\n

    It is important employees are made aware of risks and how to minimise them before embarking on a trip.<\/p>\n\n\n\n

    Jemma Fairclough-Hayes recommends that companies develop and \nintroduce a company car or driving policy. She suggests including some \nthings which drivers will be aware of but are worth reiterating. For \nexample, it is important to emphasise the need to adhere to drink \ndriving and speeding laws.<\/p>\n\n\n\n

    It is also important to include guidance that helps keep employees \nsafe whilst driving, such as how long employees should be on the road \nfor, how often they should take breaks, where it is safe to stop on the \nmotorway, and how to stay alert on long journeys. <\/p>\n\n\n\n

    It\u2019s also important to think about employee health whilst driving. \nBad posture and driving position can lead to muscular problems if held \nfor lengthy periods of time. Think about discussing correct seat \npositions and posture with your employees, similar to how you would \napproach display screen equipment safety.<\/p>\n\n\n\n
